Administrative Coordinator

Full Time, 37.5 hours/week

1-year term position with the possibility of extension or permanent placement

Our Organization:

The Ya’thi Néné Land and Resource Office works to promote and enhance the environmental, social, cultural, and economic health and well-being of the Athabasca residents including Black Lake, Fond du Lac and Hatchet Lake Denesuline First Nations, Stony Rapids, Wollaston Lake, Camsell Portage and Uranium City.

Position:

Under the direction of the Ya’thi Néné Land and Resource Office Project Coordinator, the Administrative Coordinator will be focused on coordinating consultation and engagement activities between industry partners and our communities. This role will support our Duty to Consult (DTC) and exploration initiatives. The Administrative Coordinator is critical in managing agreements, coordinating projects, and ensuring effective communication between stakeholders, including community members, industry partners, and government agencies. They will maintain all necessary records, files, and processes to ensure the smooth and compliant operation of the organization. The ideal candidate is highly organized, detail-oriented, and comfortable working in both office and field environments, including travel to northern communities.

Responsibilities:

• Manage and track agreements, budgets, and project documentation.

• Responsible for all logistics involved in scheduling and coordinating meetings, site visits, and community tours, including booking travel, accommodations, catering, and translation services.

• Develop invoices, requisitions, and financial reports to support project implementation.

• Process DTC notifications from the Ministry of Environment (MOE) and support Community Land Technicians (CLTs) with consultation-related matters.

• Draft, review, and submit DTC responses, permits, and funding applications.

• Support exploration-related activities such as desktop studies, site inspections, and stakeholder engagement.

• Maintain KPI tracking, project databases, and regulatory reporting.

• Travel to northern communities to facilitate meetings, site visits, and engagement sessions.

• Ensure the status of agreements are being implemented and tracked and paperwork is up to date.

• Develop invoices and requisitions to support project implementation.

• Receive, name, and file electronic documents.

• Develop, prepare, and distribute minutes from meetings.

• Follow up on action items from meetings.

• Excellent problem-solving and prioritizing skills.

• Excellent time management skills and the desire to work in a fast-paced environment.

• Contributes to team effort by accomplishing related results as needed.

• Engage in other tasks and assignments as directed by the Project Coordinator.

Qualifications:

• Office Administration certificate from a recognized educational institution and two years of related experience;

• Strong organizational, project management and time management skills and ability to prioritize workload in a fast-paced environment and meet deadlines;

• Experience with Duty to Consult, environmental regulations, or exploration projects is an asset.

• Proficient and hands on experience with Microsoft Office Suite (Excel, Word, PowerPoint) and document management tools.

• Excellent communication, minute taking and stakeholder engagement abilities.

• Experience with budgeting, reporting, and financial documentation.

• Willingness to travel to remote communities as required.

• Experience working with First Nations or other Indigenous Communities.

• Ability to establish and maintain relationships with leaders, industry and other stakeholders.

• Strong planning and communication background with an interest in working with the Athabasca Basin Communities in their traditional territory to advance and protect their Aboriginal and Treaty Rights.

• Ability to speak Dene is considered an asset.
